Supervisors and Administrators can allow or deny access to areas of ShareNote Community by assigning users a Role. An assigned role allows a user a predetermined set of permissions in ShareNote Community.

There are six available roles you can assign, Location User, Lead Counselor/Manager/QMHP, Assigned Supervisor, Assigned Administrator, and Location Administrator. See below to understand what different roles allow.
In addition to an assigned Role, you can also set individual Staff Member Permissions.
Note: Any ShareNote Community Role that is assigned has the access listed below for their assigned location only.

Staff Roles
Individual Staff Settings
There are a variety of Permissions that can be granted or revoked. Each permission is connected to actions in ShareNote Community.
- Hover over the Managers tab in the navigation bar and select Staff Manager from the drop-down.
- Click on appropriate Staff Member.
- From the Details tab, click Edit Profile.
- Settings/Permissions are located in:
General ShareNote Community Settings
Scroll down to the General ShareNote Community Settings section.
- ShareNote Community Access Level - This determines the level of access you want this user to have. Their ShareNote Community Role (set during initial Staff Creation) and Access Level are the same things. This determines what a user can and cannot do in ShareNote Community.
- Is Scheduler Manager - Select to allow user to edit the Calendar Scheduler.

Allow Medication Administration - Select to allow user to administer medications, this option can only be enabled by an Administrator.
Location User Settings
Scroll down to the Location User Settings section.
- Can Edit Clients
- Can Discharge Clients
- Can Edit Authorizations
- Can Edit Certifications - Select to allow users to edit Staff Certifications.
- Can Add/Edit Goals - Select to allow users to add and edit Goals and/or update the Treatment Plan.
- Can Add/Edit Generic/Group Goals
- Can Delete Files - Select to allow users to delete Files from the Files Managers.

Can Lock Notes - Select to allow Location User to Sign/Lock Notes, this option can only be enabled by an Administrator.
Admin Settings
Scroll down to the Admin Settings section.
- Can Override Signature - Select to allow user to override Signatures on completed Notes. (Will need to be Locked and Signed again)
- Is Billing Manager - Select to allow user to submit billing and view money based information such as, billing units, fee per service, reporting, etc.

Can Manage Subscriptions - Select to allow user to update the Clinic's subscription to ShareNote Community by adding available add-ons such as, e-Prescribe, Wiley Practice Planners, and Telehealth.
IMPORTANT: Enabling the Manage Subscriptions setting can result in a change in your monthly subscription costs.
