NOTE: Prior Authorizations are tracked inside the system, however you do not submit or receive results through ShareNote Community.

Add Service Authorization
- Hover over the Managers tab from the navigation bar, and select Service Authorizations from the drop-down.
- You will arrive at the Authorizations List tab, if you scroll down, you can view the list of valid Authorizations.
- Click Create New tab.
NOTE: Check that you have the correct location selected in the Current Location drop-down. If the wrong location is selected, you may not see the necessary clients, or information for services for needed funding sources.
- Select appropriate Date and Client, then the services for that client will appear in the Select Service Requested field.

Select Group (optional) - Allows for creation of groups of Service Codes that may be applied with one click.
- Enter required data in each field.
- Number of Units Requested - What you submitted the request for.
- Effective Date - Start date for this Authorization.
- Lapse Date - End date.
- Status - Pending is the default status, and won't track some of the changes in the system. Must be marked as Approved/Approved with Changes for ShareNote Community to restrict usage.
- Submitted By - Based on the profile you are logged in as.
- Approved - When the Auth was approved.
- Actual Units- Number of units received OR the number they have at ShareNote Community start date.
- Comments
- Auth. ID - Required in order to bill.
- Enforce Validation - Select checkbox to validate and restrict Notes based on the information above. Must be checked in order to restrict units in notes and assessments.
- Frequency Cap - Cap the Auth's usage based on how many Units are allowed in a given time period.
- Enter Set Alert time frame for alerts based on Units and/or Days Remaining in the Authorization.
- Click Submit. This will take you back to your Authorization's list, and you will receive a notification stating that it was successfully entered.
View Authorizations in Client File
- Hover over the Managers tab in the navigation bar, and select Client Manager from the drop-down.
- Open the profile for the appropriate client.
- Click Authorizations in the Notes/Information section in the left menu.
- Any valid Authorizations that client has will appear. If you have access, click Create New to add a new Authorization.
Transaction Report
This is used by admins or billers to view transaction reports for units used for assigned authorizations.
- Click the Authorizations List tab.
- Locate the appropriate client, then scroll to the right and click View Trans. to open Transaction Report window.
- Click Print Transaction Report to download the PDF and/or print the report.
