Review, Lock, Sign, & Modify Notes Workflow (ShareNote)

Below are the workflows for Note reviewers and Note authors. The workflow details how to review, lock, add comments, trash a Note, add a signature, and add addendums to Notes that need modification.

Note Reviewer

As a Note reviewer, you can pull batches of Notes to review and indicate to the Note author if you have locked the Note(s), or if they need to be signed, modified, or trashed.

  1. Hover over the Note Center tab in the navigation bar, and select the appropriate Note Center from the drop-down.

    Note: This workflow works for all Note types.
  1. Enter the Date Range for the dates of service for the Notes you would like to review.

  1. Use the Note Status drop-down, and select To Be Reviewed from the list.

  1. Use the show drop-down to select how many notes you would like to view on each page.

  1. Click Show Notes.
  1. The Status row will show the current status of the Notes, check the box next to ID to select all Notes.

  1. Scroll down and click View All Checked Notes.

  1. The Notes will display in a list separated by a perforated line.
  1. Use the Note Actions section to select the correct action.
    • Edit Note: If modifications need to be made by the Note author.
    • Lock Note: If everything is correct and ready to be signed by the Note author.
    • Trash Note: Delete a Note, then the Note author will need to create a new one.

  1. The Note Info section will show the updated status of each individual Note based on the Note Action you applied.

    Note: Any time a Note reviewer changes the status of a Note, the Note author will be sent a notification regarding their next steps.

  1. If a Note needs modifications, click Set Reviewer.

  1. Scroll down to the Add Comment to this Note: section to leave information for the Note Author.

  1. Check the Set as a task? box.
  1. Click Submit Comments. The Note author will receive a notification and see it as a Task on their dashboard.
  1. If you selected Trash Note, a window will appear. Add the reason the Note needs to be trashed.

  1. Click Continue. 
  1. To view the History of a Note, open the appropriate Note and click Note History located in the upper left corner of the Note. This will show all actions to this Note that have taken place.

Note Author

When a Note reviewer reviews your Notes, you will receive notifications inside and outside of ShareNote Community alerting you to the status of your Notes and next steps.

Access Notes

  1. Hover over the Note Center tab in the navigation bar, and select the appropriate Note Center from the drop-down.

    Note: This workflow works for all Note types.
  1. Enter the Date Range for the dates of service for the Notes you would like to review.

  1. Use the Note Status drop-down, and select the Note status you would like to view. You will most likely want to view Notes that are in a status of either Locked/ Please sign, or Reviewed/ NOT Approved.

Notes that were Reviewed but NOT Approved

 

Follow the steps below to review Notes that were marked as Reviewed/NOT Approved. 

Note: If your ShareNote Community role is a Location User, some modifications will be unavailable to you.

 

  1. Click View on the Note.

  1. Click Edit Note in the Note Actions section.

  1. Make any modifications that you were instructed to make by the Note reviewer, then click Submit.

  1. A window will appear. Please provide the Reason you are making the modification, then click Submit.

  1. You will need to inform the Note reviewer that you have completed the task by checking the box.

  1. Once Mark selected tasks as completed appears, click it. The Note reviewer will receive that notification.

  1. Scroll back to the top and click Return to List to return to your Note Center to review and sign your Notes.

Sign Notes

If the Note reviewer approved and locked your Notes, you are then ready to apply your signature.

  1. From the appropriate Note Center, enter the Date Range.

  1. Use the Note Status drop-down, and select the Note status you would like to view. You will most likely select Locked/ Please Sign.

  1. Click Show Notes.

  1. Check the box next to ID to select all Notes.

  1. Scroll down and click View All Checked Notes.

  1. On each Note, you will need to check the Check here to include this note when adding your e-signature box.

  1. Once you have selected all Notes to apply your signature to, locate the Add Electronic Signature section.

  1. Check the I agree/attest to the above terms and conditions of using my electronic signature box.
  1. Enter your PIN number.
  1. After you add your PIN, the Apply Signature to Note button will enable (become dark green), allowing you to click it to add your signature to all the Notes you selected.
