In order to Submit Billing, you must update the Notes Billing Status to Billable.
IMPORTANT: Best practice is to bill Notes that have been Locked and Signed, however, Notes may be billed in any Status. Once this is done, you may submit billing.
Billing Submission
There are four steps to submit billing, select Billing Date Range, Select Service, Data Validation, and Process Billing.
- Hover over the Managers tab in the navigation bar, and locate select Direct Billing from the drop-down.
- Select New Billing Submission.
Step 1: Billing Date Range
- Select desired Date Range.
Note: Be sure to use the same date range that you used when marking the notes or assessments as billable.
- Optional - Select checkboxes to modify your Billing Submission.
- Check here to include ALL BILLABLE notes (even if locked) - If ALL BILLABLE Notes are not locked, check this box to ensure your claims bill out correctly. Best Practice recommends that all notes be locked/signed.
- Include Assessments - Check if you have Assessments you have marked as Billable and would like to bill out in this submission.
- Bill Corrected Claims - Select if this whole submission is corrected Claims. See the Correct Claims article to submit these claims.
- Bill Secondary Insurance Payer (Only) - Select if the entire submission is to Secondary Insurance.
- Click Check Services to pull in Notes and/or Assessments that are marked billable in selected date range.
- If billing to multiple locations, select the Correct Location that was used on that Note.

Step 2: Select Service
If you have marked Services as Billable that are present in your Billing Profile the blue box should automatically check the correct Profile Name. Verify that appropriate boxes are selected.
IMPORTANT: If a profile is not automatically selected that should be, contact the ShareNote Community Billing Department.
Step 3: Data Validation
Verify that all mandatory data is present for the Claims you are submitting. ShareNote Community will flag fields that are empty for you, but it does not check to make sure that the data input is correct. You will need to manually validate that the data is correct.
- Click Validate Data.
- If something is flagged an exclamation point will appear under the area. Update the Staff or Client Profile or exclude that Claim from the batch.
Step 4: Process Billing
When you process billing, you have the option to run a report first.
- Production Bill is selected by default. Do not use Testing/Report Only.
- Ensure that Production BILL is always selected.
- If you would like to receive an email alert when billing is complete, select the checkbox.
NOTE: You must have an email address listed in your Staff Profile. - If you want to run a report before you bill, click the Check here if you want to just run a report and NOT send to billing queue link.
- If you are ready to submit, click on Add to Production Billing Queue.
- View the Current Billing Queue. New submissions will wait here until they are processed, usually within a few minutes.
- If you need to remove the billing submission from the current billing queue, check the Click here to remove the selected billing submission from the billing queue box.
